Why Professional Receiving Matters for Designers
When a freight carrier drops a delivery at a residential address and the homeowner signs for it without inspecting it, any damage that was caused in transit becomes the designer’s problem to solve after the fact. Filing a successful freight claim requires documentation at the time of delivery. Once a delivery is signed for without noted exceptions, that window closes.
Professional receiving changes this entirely. Our team accepts deliveries at our facility on your behalf, unpacks and inspects each item at the time of delivery, documents all findings with photographs and written notes, and flags any damage or discrepancies immediately. You receive the documentation needed to pursue claims while they are still actionable, and damaged items are held pending your direction.
We work with multiple vendors simultaneously across multiple active projects. Every delivery is tracked against the purchase order you provide, and you are notified within 24 hours of any delivery with a detailed inspection report. Clean items move into climate-controlled storage and remain there until you schedule delivery to the client.
Documentation That Protects Your Business
A missed damage claim is a cost your business absorbs. A missed incorrect item is a delay that affects your project timeline and your client’s confidence. Our inspection process is thorough enough to catch both, and our documentation is detailed enough to support your claims and communications with vendors.
Every inspection report includes photographs of the item as received, notes on packaging condition, a description of any damage or discrepancies, and a comparison to the relevant line item on your purchase order. You receive the report and photographs via your preferred method, typically same day or next business day.

How We Handle Receiving and Inspection
Our receiving process is designed to protect your projects and your business. From the moment a delivery arrives at our facility to the moment it is cleared for storage, every step is documented and every issue is flagged.
When you set up your account with us, you provide purchase order details for expected deliveries. Our team knows what to expect, how it should arrive, and what to look for during inspection. Vendors are given our receiving address, and your deliveries come directly to us.
At the Time of Delivery
When a freight carrier arrives, our receiving team manages the offloading process. We do not simply sign and accept. Every piece is unboxed, inspected, and compared to the purchase order before the carrier is released. Packaging condition is noted and photographed. Items are inspected for damage to finish, structure, and any components. Quantities are confirmed and compared to the delivery documentation.
If damage or discrepancies are found, they are noted on the carrier’s delivery receipt before the driver leaves. This is the step that makes freight claims possible. We handle it on your behalf so you have the documentation you need without being present.
Documentation and Notification
Following inspection, you receive a complete report for each delivery. The report includes photographs of each item, notes on condition, and a clear notation of any issues found. If damage is documented, you receive the carrier-noted delivery receipt as well, which is required for freight claims.
For items that arrive in acceptable condition, you receive a confirmation with photographs and storage location so you have full visibility into your inventory at our facility at all times.
